This Privacy Policy describes how Oli Labs, Inc. ("Oli Labs," "we," "us," or "our") collects, uses, and discloses information associated with an identified or identifiable individual ("Personal Data") and what choices you have around this activity.

1. Applicability of this Privacy Policy
This Privacy Policy applies to Oli Labs' AI sales assistant software ("Oli" or "Software"), our website at olilabs.ai and related domains ("Websites"), and other interactions you may have with Oli Labs (e.g., customer service inquiries, conferences, support).
Two Types of Users:
(i) Business Customers: Organizations that deploy Oli ("Customers")
(ii) End Users: Individuals who interact with Oli through Customer deployments (“End Users”)
If you do not agree with this Privacy Policy, do not access or use the Software, Websites, or any other aspect of our business.
What This Policy Does Not Cover:
This Privacy Policy does not apply to third-party applications or software that integrate with Oli through our platform ("Third-Party Services"). These third parties operate under their own terms of service and privacy policies.
A separate Customer Agreement governs delivery, access, and use of the Software, including the processing of Customer Data (such as CRM data, conversation transcripts, lead information, or other content submitted through the Software).
For California Residents: We collect the information described in Section 2 for the business purposes described in Sections 3 and 4. To learn about your California Privacy Rights, see Section 14.
2. Information We Collect and Receive
2.1 Customer Data
Customers and their authorized users ("Authorized Users") submit Customer Data to Oli Labs when using the Software. This includes:
(i) Conversation transcripts and chat histories
(ii) Lead and prospect information
(iii) CRM data and customer records
(iv) Sales interaction data
(v) Files, documents, and other content
(vi) Configuration settings and preferences
2.2 End User Data
When End Users interact with Oli deployed by our Customers, we may collect:
(i) Conversation content and messages
(ii) Contact information provided during interactions (name, email, phone)
(iii) Interaction metadata (timestamps, session duration, pages visited)
(iv) Responses to questions posed by Oli
(v) Device and browser information
(vi) IP address and approximate location
2.3 Other Information We Collect
2.3.1 Account Information
To create or update a Customer account, we collect email addresses, phone numbers, company information, and account credentials. Customers purchasing paid versions provide billing details (credit card information, billing address) to us or our payment processors.
2.3.2 Usage Information
(a) Software Metadata: When Authorized Users interact with the Software, we generate metadata about sessions, features used, content viewed, links clicked, and Third-Party Services integrated
(b) Log Data: Our servers automatically collect IP addresses, browser type and settings, date/time stamps, referring pages, and language preferences
(c) Device Information: Device type, operating system, device settings, application IDs, unique device identifiers, and crash data
(d) Location Information: We approximate location using business addresses, IP addresses, or location data provided by Customers
2.3.3 Cookie and Tracking Technologies
We use cookies, web beacons, pixels, and similar technologies on our Websites and in the Software. For details, see our Cookie Policy at https://www.olilabs.ai/legal/cookies-policy.
2.3.4 CRM Integration Data
To deliver the Services effectively, Oli integrates with Customer CRM platforms to:
(i) Deliver inbound leads and conversational data to the CRM
(ii) Analyze and score leads based on conversation quality
(iii) Compare historical customer data with active lead conversations
(iv) Engage dormant or inactive leads through email, SMS, or voice on behalf of Customers
(v) Sync customer records and interaction history
2.3.5 AI Training Data
Conversations and interactions with Oli may be used to:
(i) Improve AI model performance and accuracy
(ii) Train and fine-tune our natural language processing capabilities
(iii) Enhance conversation quality and relevance
(iv) Develop new features and capabilities
2.3.6 Audio and Video Data
When Oli includes voice capabilities, we may collect:
(i) Audio recordings of voice conversations
(ii) Transcriptions of audio interactions
(iii) Voice biometric data (only with explicit consent where required by law)
2.3.7 Third-Party Service Data
When Customers enable Third-Party Services (e.g., Salesforce, HubSpot, Slack), we receive information from these services according to their APIs and our agreements with the providers. We do not receive or store passwords for Third-Party Services.
2.3.8 Contact Information
We may collect contact information that Authorized Users import, forward, or upload (such as lead lists or contact databases).
2.3.9 Third-Party Data
We receive data from our partners about organizations, industries, Website visitors, and marketing campaigns. This may include aggregate data (IP address to geographic location) or specific data (marketing campaign performance).
2.3.10 Additional Information
We may collect information submitted through:
(i) Customer support requests
(ii) Job applications
(iii) Focus groups, surveys, or contests
(iv) Certification or training programs
(v) Social media interactions
(vi) Event registrations
No Obligation to Provide Information: Generally, no one is obligated to provide Information. However, some Information is collected automatically, and certain Information (like account setup details) is necessary to provide the Software.
3.1 Use of Customer Data
We process Customer Data according to Customer instructions, including:
(i) Providing and maintaining the Software
(ii) Following terms in the Customer Agreement
(iii) Responding to Customer's use of Software functionality
(iv) Complying with applicable law
Role: Oli Labs is a processor of Customer Data; the Customer is the controller.
3.2 Use of Other Information
We use Other Information (including End User Data when we act as controller) for the following purposes:
3.2.1 Compliance With Legal Obligations
We process Information to comply with legal obligations, including:
(i) Responding to valid legal requests (search warrants, subpoenas, court orders)
(ii) Preserving or disclosing information to regulators or law enforcement
(iii) Complying with data protection and privacy laws

3.2.2 Contractual Necessity
We process Information to:
(i) Provide the Software under Customer Agreements
(ii) Deliver AI-powered conversation capabilities
(iii) Process payments and manage accounts
(iv) Provide customer support

3.2.3 Legitimate Interests
We process Information for legitimate interests that are not outweighed by individual rights and freedoms in order to:
(a) Provide, maintain, and protect our Software and business:
(i) Support Software delivery and performance
(ii) Prevent or address service errors and technical issues
(iii) Analyze usage trends and monitor activities
(iv) Ensure platform security and stability
(b) Develop and improve AI capabilities:
(i) Train and enhance our AI models
(ii) Improve conversation quality and accuracy
(iii) Develop new features and productivity tools
(iv) Analyze lead scoring and conversation effectiveness
(v) Create predictive models and recommendations
(c) Investigate and prevent security issues and abuse:
(i) Detect and prevent spam, fraud, and abuse

3.2.4 Consent

4. How We Share Your Information
We share Information in the following circumstances:
4.1 Customer Instructions
We share Information according to Customer instructions, including terms in the Customer Agreement and Customer's use of Software features.
4.2 Within Customer Organizations
Information is accessible to Authorized Users within the same Customer account, including:
(i) Conversation transcripts and lead data
(ii) User profiles and organizational information
(iii) Dashboards and analytics
(iv) Shared files and content
4.3 Customer Administrators
Customer owners, administrators, and authorized personnel can access, modify, export, or restrict access to Information, including:
(i) User profile details
(ii) Account activity logs
(iii) Conversation histories
(iv) System configurations
4.4 Service Providers
We engage third-party service providers to support our business, including:
(i) Cloud hosting and infrastructure providers (AWS, Google Cloud)
(ii) Payment processors
(iii) Customer support platforms
(iv) Analytics and monitoring tools
(v) Email and communication services
(vi) Security and fraud prevention services
These providers are contractually obligated to protect Information and use it only for specified purposes.
4.5 Third-Party Services
When Customers enable Third-Party Services (e.g., CRM systems, communication platforms), we share Information as necessary to provide the integration. Check Third-Party Service privacy policies for their practices.
4.6 AI Model Providers
We may use third-party AI and machine learning providers to enhance Oli's capabilities. These providers process conversation data under strict contractual limitations.
4.7 Business Transfers
If Oli Labs is involved in a merger, acquisition, bankruptcy, dissolution, reorganization, or sale of assets, Information may be shared or transferred, subject to standard confidentiality arrangements.
4.8 Legal Requirements and Safety
We may disclose Information when we reasonably believe it is necessary to:
(i) Comply with applicable laws, regulations, or legal processes
(ii) Respond to valid legal requests from law enforcement or regulators
(iii) Enforce our agreements and policies
(iv) Protect the rights, property, or safety of Oli Labs, our users, or third parties
(v) Prevent illegal activity, fraud, or security issues

4.9 Professional Advisors
We share Information with lawyers, accountants, auditors, and other professional advisors who assist us with legal, financial, and business matters.
4.10 Corporate Affiliates
We may share Information with our parent company, subsidiaries, and corporate affiliates for business purposes.
4.11 Aggregated or De-identified Data
We may share aggregated or de-identified data that cannot identify individuals for any purpose, including research, analytics, and marketing.
4.12 With Consent
We may share Information with your consent or at your direction.
5. AI Processing and Automated Decision-Making
5.1 How Oli's AI Works
Oli uses artificial intelligence and natural language processing to:
(i) Engage in conversations with End Users
(ii) Qualify and score leads
(iii) Provide information and answer questions
(iv) Route conversations to appropriate sales representatives
(v) Make recommendations based on conversation context
5.2 Automated Decision-Making
Oli may make automated decisions including:
(i) Lead scoring and prioritization
(ii) Conversation routing and assignment
(iii) Response selection and generation
(iv) Engagement timing and frequency
5.3 Your Rights
If you are in the EU/UK, you have the right to:
(i) Not be subject to decisions based solely on automated processing that produce legal or similarly significant effects
(ii) Request human review of automated decisions
(iii) Express your point of view and contest automated decisions

5.4 AI Training and Improvement
We use conversations and interactions to improve Oli's AI capabilities.
6. Data Retention
6.1 Customer Data
We retain Customer Data according to:
(i) Customer instructions and settings
(ii) Terms in the Customer Agreement
(iii) Customer's use of retention features
(iv) Applicable legal requirements
Customers can customize retention settings based on their Software plan and apply different settings to different data types.
6.2 Other Information
We retain Other Information for as long as necessary to:
(i) Provide the Software and customer support
(ii) Comply with legal obligations
(iii) Resolve disputes and enforce agreements
(iv) Pursue legitimate business interests
(v) Conduct audits and ensure compliance
This may include retaining information after account deactivation.
6.3 Deletion
When Customer Data or accounts are deleted, associated Other Information may also be deleted or de-identified. However, some information may be retained in backups, logs, or as required by law.
6.4 End User Data
When End Users interact with Oli through Customer deployments, retention is governed by the Customer's settings and instructions. End Users should contact the relevant Customer regarding data retention.
7. Security
We take data security seriously and implement appropriate technical and organizational measures to protect Information, including:
(i) Encryption in transit and at rest
(ii) Access controls and authentication
(iii) Regular security assessments and audits
(iv) Employee security training
(v) Incident response procedures
(vi) Third-party security certifications
However, no system is completely secure. We cannot guarantee absolute security of Information during transmission or storage. When you click links to third-party sites, we don't control or endorse their content or security practices.
Security Incidents: If we experience a data breach that affects your Personal Data, we will notify you and relevant authorities as required by applicable law.
8. Age Limitations
Oli Labs does not knowingly collect Personal Data from individuals under 16 years old (or under 13 in the United States, or the applicable age in other jurisdictions). The Software is intended for business use and is not directed at children.
If you believe we have collected information from a child, please contact us at privacy@olilabs.ai, and we will take steps to delete such information.
9. Changes to this Privacy Policy
We may update this Privacy Policy to reflect changes in our practices, Software, or legal requirements. When we make changes:
(i) We will post the updated Privacy Policy on this page
(ii) We will update the "Effective Date" at the top
(iii) For material changes that affect your rights, we will provide additional notice (email, in-Software notification, or prominent website notice)
(iv) Continued use of the Software after changes become effective constitutes acceptance
If you disagree with changes, you should stop using the Software and contact your Customer to request removal of Personal Data under their control.
10. International Data Transfers
Oli Labs operates globally with data centers and service providers in multiple countries. We may transfer Personal Data to countries other than where you reside, including the United States.
10.1 Safeguards for International Transfers
10.1.1 Standard Contractual Clauses
For transfers from the EU/UK to countries without adequacy decisions, we use:
(i) European Commission Standard Contractual Clauses (SCCs)
(ii) UK International Data Transfer Agreement (IDTA) or UK Addendum to SCCs
(iii) Transfer Impact Assessments as required
10.1.2 Adequacy Decisions
We rely on adequacy decisions recognized by the European Commission or UK government where available.
10.1.3 APEC Cross-Border Privacy Rules
Our privacy practices comply with the Asia-Pacific Economic Cooperation (APEC) Cross-Border Privacy Rules (CBPR) system and Privacy Recognition for Processors (PRP).

10.2 Data Transfer Locations
We currently transfer Personal Data to:

EU and UK Customer Data may be stored within the respective regions based on Customer preference and Software plan.

12. Identifying the Data Controller and Processor
12.1 For Customer Data
(i) Controller: The Customer (the organization deploying Oli)
(ii) Processor: Oli Labs, Inc.
Customers control their Customer Data and determine how it is processed. Oli Labs processes Customer Data according to Customer instructions.
12.2 For End User Data
When End Users interact with Oli deployed by Customers:
(i) Controller: Typically the Customer, but may be joint controllers in some cases
(ii) Processor: Oli Labs processes data on behalf of the Customer
12.3 For Other Information
Controller: Oli Labs, Inc.
Oli Labs independently controls Other Information such as account information, usage data, and website analytics.

13. Your Rights
Subject to applicable law, you may have the following rights regarding your Personal Data:

For Other Information: Use the settings and tools in your account or contact us at privacy@olilabs.ai.
For End Users: Contact the Customer that deployed Oli or email privacy@olilabs.ai for assistance.
We will respond to requests within the timeframes required by applicable law (typically within 30 days).
Verification: We may request information to verify your identity before processing requests.
Limitations: Some rights may be limited by law or legitimate interests (e.g., we may retain certain information for legal compliance).
14. California Privacy Rights
This section applies to California residents under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA).
